FleetCollect, a trucking software provider, has launched a mobile application designed to automate mileage tracking for motor carriers required to file quarterly fuel tax reports under the International Fuel Tax Agreement. The app uses GPS technology to detect state border crossings in real-time, replacing error-prone manual methods that frequently result in underreported mileage and missed tax credits.
Motor carriers operating commercial vehicles across state lines must file IFTA quarterly reports with their base jurisdiction, with the Q1 2026 deadline approaching on April 30, 2026. Inaccurate mileage reporting can trigger IFTA audits, which examine four years of records and carry penalties up to $50 per day for late filings plus additional assessments for underreported fuel taxes. According to FleetCollect founder Herman Armstrong, owner-operators using manual tracking consistently undercount state-line crossings, particularly on multi-stop routes, leading to significant financial losses.
The FleetCollect IFTA app features automatic GPS-based state and province border detection, one-tap trip initiation with 30-day background tracking, fuel purchase logging with location and price capture, and quarterly IFTA report generation for all 48 IFTA member jurisdictions. The platform supports both US states and 10 Canadian provinces, with a free IFTA tax calculator available at https://fleetcollect.net/ifta. Armstrong cited one customer who recovered $3,200 in fuel tax credits after their first quarter using the application.
Available for iPhone and Android devices, pricing starts at $9 per month for solo owner-operators, with fleet plans for carriers with multiple drivers priced at $5 per truck. The company also supports dispatchers, bookkeepers, and accountants who file IFTA on behalf of trucking clients through a web dashboard that provides access to trip data, fuel logs, and completed IFTA reports across multiple carrier accounts. This integration reduces quarterly filing time from hours to minutes for filing professionals.
The launch addresses a persistent pain point in the trucking industry where manual tracking methods have resulted in substantial financial penalties and missed opportunities for tax recovery. By automating the detection of jurisdiction changes, FleetCollect's solution not only minimizes audit risks but also ensures carriers capture all eligible fuel tax credits. The platform's ability to generate audit-ready quarterly reports provides additional protection against compliance issues that could otherwise result in significant financial penalties for motor carriers operating across state and provincial borders.
